Job Description:

Job Summary

We are seeking a proactive and organized Executive Assistant with experience in Client Coordination. This role will support senior executives in managing schedules, communications, and day-to-day tasks, while also acting as a liaison between the organization and its clients. The ideal candidate should possess excellent communication skills, a strong attention to detail, and the ability to multitask in a dynamic environment.

Key Responsibilities

  1. Executive Support:

    • Manage calendars, schedule appointments, and organize meetings for senior executives.
    • Handle email correspondence, phone calls, and other communications on behalf of executives.
    • Prepare reports, presentations, and meeting materials as required.
  2. Client Coordination:

    • Serve as the primary point of contact for clients, addressing inquiries and ensuring timely responses.
    • Coordinate with clients to schedule meetings, gather necessary information, and ensure they receive a high level of service.
    • Track client interactions and update relevant databases or CRM systems to maintain accurate records.
  3. Communication & Relationship Management:

    • Build and maintain strong relationships with clients by providing regular updates, responding promptly to questions, and resolving issues.
    • Facilitate communication between clients and internal teams, ensuring alignment on deliverables and timelines.
    • Support executives in preparing client communications, presentations, and follow-up documents.
  4. Documentation & Record Keeping:

    • Maintain organized records of meetings, client interactions, and key actions.
    • Prepare and distribute meeting minutes and action items, ensuring accountability and follow-up.
  5. Event Planning & Coordination:

    • Assist in planning and coordinating client events, meetings, and other engagements.
    • Coordinate logistics, including travel arrangements, catering, and venue setup as needed.
  6. Project Coordination:

    • Support executives in coordinating and tracking project timelines, deliverables, and client expectations.
    • Update project management tools and provide regular status reports.
  7. Administrative Support:

    • Handle general administrative duties, such as expense reports, travel arrangements, and office management tasks.
    • Act as a backup to other administrative team members when needed.
