Job Description:

Job Summary:

The Purchase Associate is responsible for assisting the purchasing department with various administrative and operational tasks. This includes researching suppliers, managing purchase orders, tracking deliveries, and ensuring that all procurement processes follow company policies and meet quality standards.

Key Responsibilities:

  • Vendor Management:

    • Identify and evaluate potential suppliers based on product quality, price, and reliability.
    • Build and maintain strong relationships with existing suppliers to ensure long-term partnerships.
  • Purchase Order Processing:

    • Create, manage, and track purchase orders (POs) accurately and promptly.
    • Follow up on POs, ensuring timely delivery and that products meet the company’s quality and specification standards.
  • Inventory Management:

    • Assist in monitoring stock levels and ensuring sufficient inventory for company operations.
    • Coordinate with inventory and warehouse teams to update stock levels and address discrepancies.
  • Cost Management and Analysis:

    • Conduct cost comparisons among suppliers to secure the best deals for products and materials.
    • Support the purchasing team in cost-reduction initiatives.
  • Documentation and Compliance:

    • Maintain accurate records of all purchasing transactions, supplier contracts, and relevant documentation.
    • Ensure compliance with company policies and procedures, as well as any industry regulations.
  • Market Research and Product Sourcing:

    • Assist in conducting research to identify market trends and potential new suppliers.
    • Source products and materials that meet the company’s quality, cost, and timeline requirements.

Qualifications and Skills:

  • Proven experience in a purchasing, procurement, or inventory management role (1-2 years preferred).
  • Strong organizational and time-management skills with the ability to manage multiple tasks effectively.
  • Excellent communication and negotiation skills.
  • Proficient in MS Office (Excel, Word) and familiar with ERP or procurement software.
  • Analytical skills with a focus on detail and accuracy.
