Job Description:

Job Title: Executive Assistant to CMD

Reports To: Chairman and Managing Director (CMD)

Employment Type: Full-Time

 

Key Responsibilities:

  1. Calendar Management:
  • Efficiently manage the CMD’s daily, weekly, and monthly schedules.
  • Coordinate and prioritize meetings, appointments, and events.
    1. Travel Monitoring:
  • Track and monitor travel plans and itineraries.
  • Ensure all travel-related details are communicated and organized.
    1. Documentation and Note-Taking:
  • Take accurate notes during meetings and prepare concise summaries.
  • Draft memos, emails, and other correspondence as required.
    1. Presentations and Reports:
  • Prepare professional PowerPoint presentations, reports, and documentation.
  • Assist in compiling and formatting data for CMD’s presentations.
    1. Contact and Diary Management:
  • Maintain and organize CMD’s contacts and communication records.
  • Keep an updated diary of important dates, deadlines, and events.
    1. Office Coordination:
  • Act as the point of contact between CMD and internal/external stakeholders.
  • Coordinate with teams to ensure smooth workflow and communication.

Qualifications and Skills:

  • Education: Bachelor’s degree in any field (preferably in Business Administration or related disciplines).
  • Experience: Minimum 2-5 years in a similar role, preferably in a geotechnical or civil engineering company.
  • Communication: Excellent verbal and written communication skills in English.
  • Technical Skills: Proficiency in MS Office Suite (Word, Excel, PowerPoint).
  • Personal Attributes:
  • Highly organized and detail oriented.
  • Presentable and professional demeanour.
    • Strong interpersonal and multitasking abilities.
    • Ability to handle confidential information with discretion.
    • Agility to handle any urgent unplanned activities sometimes.

    Preferred Candidate:

    • Strong problem-solving skills and the ability to work independently.
