Job Description:

We are seeking a highly organized and efficient Executive Assistant with at least 2 years of work experience in an interior design or related industry. The ideal candidate will support senior management and the team by handling administrative tasks, project coordination, and assisting with client interactions. This role requires a proactive individual with strong multitasking skills and a background in the interior design sector.

Key Responsibilities:

  1. Administrative Support: Manage and maintain schedules, appointments, and meetings for senior management, ensuring smooth day-to-day operations.
  2. Client Coordination: Liaise with clients, contractors, and vendors, assisting with inquiries and project updates.
  3. Project Management: Assist in the coordination and tracking of ongoing interior design projects, ensuring timelines and milestones are met.
  4. Document Management: Prepare, edit, and manage project-related documents, presentations, and reports. Maintain accurate records of contracts, proposals, and client communication.
  5. Event Planning & Coordination: Assist with organizing client meetings, site visits, and interior design presentations. Help plan events or shows as required.
  6. Communication: Handle internal and external communications, including phone calls, emails, and meeting agendas.
  7. Office Organization: Manage office supplies, equipment, and logistics to ensure the smooth operation of the workplace.
  8. Travel Coordination: Book travel arrangements and accommodations for senior management, when necessary.

Qualifications:

  • Minimum of 2 years of experience as an Executive Assistant or in a similar administrative role, preferably within the interior design or related industry.
  • Strong organizational skills and attention to detail.
  • Excellent communication skills, both verbal and written.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and basic project management tools.
  • Ability to prioritize tasks and handle multiple projects in a fast-paced environment.
  • Strong interpersonal skills and a professional demeanor when interacting with clients, vendors, and team members.
  • A background or interest in interior design is highly desirable.
