Job Description:

Job Summary

We are looking for a highly organized and proactive Executive Assistant to the Director with 6+ years of experience in executive support. The ideal candidate should possess exceptional communication, organizational, and problem-solving skills while being proficient in modern AI tools to enhance productivity, automate routine tasks, and prepare high-quality business documentation. The candidate will be responsible for managing the Director's office, coordinating with internal and external stakeholders, and ensuring seamless day-to-day operations.

Key Responsibilities

  • Manage the Director's calendar, meetings, appointments, and travel arrangements.
  • Coordinate and prioritize daily activities, ensuring efficient time management.
  • Draft professional emails, business correspondence, presentations, reports, and meeting minutes.
  • Handle confidential documents and sensitive business information with discretion.
  • Prepare presentations, MIS reports, dashboards, and executive summaries.
  • Coordinate with department heads, clients, vendors, and business partners.
  • Track action items and follow up with stakeholders to ensure timely completion.
  • Organize board meetings, leadership meetings, and prepare agendas and MOMs.
  • Maintain records, files, contracts, and official documentation.
  • Conduct internet and market research as required by the Director.
  • Support business planning, event coordination, and special projects.
  • Manage expense reports, reimbursements, and administrative tasks.

  • Advanced Microsoft Office (Excel, Word, PowerPoint, Outlook).

  • AI for email drafting, document creation, report generation, and business communication.
  • AI-based data summarization and research.
  • AI tools for scheduling, workflow automation, and task management.
  • Ability to verify AI-generated content for accuracy and professionalism.

Educational Qualification

  • Bachelor's degree in Business Administration, Commerce, Management, or a related field.
  • MBA or Executive Assistant certification will be an added advantage.
