About the Role

We are looking for an experienced and tech-savvy System Manager to manage and monitor the back-office systems and technology operations of a cluster of 8 food outlets across Kolkata.

The ideal candidate should have strong hands-on experience in the Restaurant / QSR / Café / Food & Beverage industry, with excellent knowledge of Petpooja POS, restaurant back-office systems, billing, inventory management, food costing, sales reports, online ordering platforms, and MIS reporting.

The candidate will be responsible for ensuring that all restaurant systems are functioning properly, outlet data is accurate, reports are generated on time, and operational teams are using the systems correctly.

The candidate should be comfortable coordinating with multiple outlets, outlet managers, kitchen teams, management, vendors, and technical support teams.

Key Responsibilities

Manage and monitor back-office systems and restaurant technology across 8 outlets.
Maintain and monitor Petpooja POS / restaurant management software across all outlets.
Ensure correct configuration of items, menus, pricing, recipes, modifiers, taxes, discounts, offers, and billing parameters in the system.
Monitor daily sales, billing, collection, voids, discounts, cancellations, refunds, and other POS transactions.
Generate and analyse daily, weekly, and monthly sales and operational reports.
Monitor inventory, stock consumption, purchase entries, wastage, transfers, and closing stock through the back-office system.
Maintain accurate recipe and food-costing data in the system.
Monitor food cost and identify discrepancies between system consumption and actual consumption.
Ensure proper integration and functioning of Zomato, Swiggy, and other online ordering platforms.
Monitor online orders, cancellations, order acceptance, menu availability, pricing, and platform-related issues.
Coordinate with outlet teams to resolve POS, billing, printer, internet, hardware, software, and system-related issues.
Coordinate with software vendors / technical support teams whenever technical issues require escalation.
Ensure proper synchronization between POS, inventory, kitchen, and online ordering systems.
Conduct regular checks to identify data discrepancies, billing errors, system misuse, and operational leakages.
Maintain proper master data for products, categories, recipes, vendors, outlets, pricing, taxes, and other system parameters.
Train outlet managers and back-office teams on Petpooja and other restaurant software.
Ensure outlet teams follow proper system processes and SOPs.
Monitor user access, permissions, and system usage wherever applicable.
Prepare and maintain MIS reports and dashboards for management.
Provide management with actionable insights based on sales, inventory, food cost, and system data.
Maintain proper records of system issues, resolutions, and recurring technical problems.
Coordinate with operations, finance, purchase, inventory, and outlet teams for accurate data and reporting.
Visit outlets regularly to audit system usage and resolve operational/system-related issues.
Ensure smooth functioning of all back-office systems across the restaurant network.

Candidate Requirements

3–6 years of relevant experience in Restaurant / QSR / Café / Food & Beverage / Hospitality operations.
Strong hands-on experience with Petpooja POS / Restaurant Management Software is mandatory.
Experience in restaurant back-office / system management will be highly preferred.
Strong knowledge of POS billing and restaurant back-office operations.
Good understanding of inventory, stock consumption, wastage, recipe management, and food costing.
Practical knowledge of Zomato & Swiggy restaurant operations.
Good understanding of sales reports, MIS, billing reports, inventory reports, and outlet-level data.
Experience handling multiple restaurant outlets will be preferred.
Good knowledge of MS Excel / Google Sheets and data analysis.
Ability to identify and troubleshoot basic POS, software, hardware, printer, network, and system issues.
Experience coordinating with software vendors and technical support teams.
Strong analytical and problem-solving skills.
Excellent communication and coordination skills.
Comfortable travelling across different Kolkata outlets whenever required.
Should be proactive and capable of independently handling system and back-office issues.

The ideal candidate would be someone who has worked as a Restaurant System Executive / System Manager / Back Office Manager / Restaurant MIS Executive / POS Executive / Restaurant Technology Executive and has hands-on experience managing restaurant software and data across multiple outlets.

Candidates who understand both restaurant operations and technology/back-office systems will be preferred.

Compensation

₹35,000 – ₹45,000 per month CTC, depending on experience and suitability.
