Job Description:

Job Title: Executive Assistant 
Location: Malad
Reporting To: Director 

Role Overview We are seeking a highly organized and proactive Executive Assistant to support the Director in managing day-to-day operations, strategic coordination, and administrative functions. The role requires strong multitasking abilities, discretion, and the capability to work across multiple departments and companies.

Key Responsibilities
• Executive Coordination 
o Act as the primary point of contact between the Director and internal/external stakeholders 
o Coordinate with various departments to ensure timely sharing of daily reports and updates 


• MIS & Reporting 
o Manage MIS (Management Information Systems) for all group companies 
o Collate, analyze, and present data in a structured and meaningful format for decision-making 
o Prepare reports, dashboards, and presentations as required 


• Calendar & Schedule Management 
o Plan and manage the Director’s calendar, including meetings, appointments, and events 
o Prioritize and schedule engagements efficiently 


• Travel Management 
o Handle end-to-end travel planning including bookings, itineraries, and logistics 
o Coordinate with relevant stakeholders for smooth travel arrangements 

• Office Administration Oversight 
o Oversee and monitor administrative functions of the office 
o Ensure smooth day-to-day operations and coordination with admin teams 

Communication & Documentation 
o Draft emails, communications, and official correspondence 
o Maintain records, documents, and confidential information with discretion 

• Additional Responsibilities 

o Support in special projects and ad-hoc tasks as assigned
o Ensure follow-ups and timely closure of assigned tasks 


Key Skills & Qualifications
• Bachelor’s degree in Business Administration or related field 
• 3–7 years of experience as an Executive Assistant to senior leadership 
• Strong proficiency in MS Office (Excel, PowerPoint, Word) 
• Excellent organizational and time management skills 
• Strong communication and interpersonal abilities 
• High level of discretion and confidentiality 
• Ability to multitask and work in a fast-paced environment 

Preferred Attributes
• Experience working with multiple entities or group companies 
• Strong analytical and reporting skills (MIS expertise) 
• Problem-solving mindset and attention to detail
