    Job Overview

    We are looking for a detail-oriented and organized Tender Executive to manage the complete tendering and e-procurement process.

    The candidate will be responsible for identifying relevant tender opportunities, evaluating eligibility, coordinating bid documentation, preparing and submitting tenders, tracking corrigendums and maintaining records of bid outcomes.

    Key Responsibilities

    • Monitor relevant tenders through GeM, CPP Portal, TenderTiger, state e-procurement portals and other government, PSU and institutional procurement platforms.
    • Identify suitable tender opportunities and conduct initial Bid / No-Bid assessment.
    • Review tender eligibility criteria, technical specifications, turnover and experience requirements, EMD, tender fees, delivery conditions and submission deadlines.
    • Maintain an updated tender tracker with tender details, responsibilities, internal deadlines and submission status.
    • Prepare and compile technical bid documents, BOQs, compliance sheets, deviation statements, declarations and commercial schedules.
    • Coordinate with the Sales, Technical, Service and Accounts teams for specifications, pricing, certificates and other required inputs.
    • Coordinate with OEMs for Manufacturer Authorization Forms (MAF), authorization letters and other manufacturer-related documents.
    • Coordinate EMD / bid-security documentation, tender fees and DSC / portal requirements with the concerned teams.
    • Track pre-bid meetings, clarifications, corrigendums, amendments and revised submission dates.
    • Upload and submit tenders through GeM and e-procurement portals, ensuring all documents are complete and properly verified before submission.
    • Maintain organized digital records of submitted tenders, acknowledgements, supporting documents and final bid copies.
    • Track technical and commercial bid openings and maintain tender result records.
    • Record L1/L2/L3/L4 positions, successful bidders, quoted prices where available and relevant competitor information.
    • Follow up on clarifications, negotiations and post-bid documentation as required.
    • Maintain a searchable database of previous tenders, bid outcomes and reusable compliance documents.

    Candidate Profile

    • Graduate; Commerce, Engineering or Business background preferred.
    • 1–3 years of experience in tender handling, e-procurement, bid documentation or procurement support.
    • Familiarity with GeM, CPP Portal and state e-procurement portals will be an advantage.
    • Strong attention to detail and excellent document-management skills.
    • Good understanding of MS Excel, MS Word, PDF handling and online portals.
    • Ability to understand eligibility criteria, technical specifications and commercial terms.
    • Strong deadline-management and follow-up skills.
    • Ability to manage multiple tenders simultaneously and coordinate with different internal teams.

    Preferred Background / Skills

    Knowledge of BOQs, compliance sheets, deviation statements, MAF / OEM authorization, EMD / bid-security documentation and L1 analysis will be an advantage.

    Proficient in MS Office and documentation tools.
