Job Title: Accounts & Export Shipment Coordinator
Location: Jaipur, India
Experience: Minimum 2 years in an accounts or finance-related role, with experience in shipment documentation and Tally software.
Job Summary:
The Executive Assistant will provide high-level administrative support to the executive team, ensuring the smooth and efficient running of the office. This individual will be responsible for managing schedules, communications, and other administrative tasks, enabling the executive team to focus on strategic decision-making and business operations.
Job Responsibilities:
1. Preparing Shipment Documentation:
o Responsible for preparing and verifying all necessary shipment documentation, ensuring compliance with shipping standards and customer requirements.
2. Client Invoice Management:
o Prepare, process, and issue accurate invoices for clients, ensuring that all relevant details are captured and payments are tracked.
o E way and E invoice
3. Shipment Invoice Entries in Tally & Foreign accounting:
o Maintain and update shipment-related invoice entries in Tally and Ashlee Tally, ensuring accuracy in all records.
o Export data and reports from Tally to ensure smooth tracking and reporting.
4. Purchase Invoice Entries:
o Record and process purchase invoices accurately in the system.
o Ensure proper accounting for all purchases and materials received.
5. Uploading Bank Statement:
o Upload and reconcile bank statements on a regular basis to ensure smooth financial operations.
o Ensure that all transactions are recorded accurately in the system.
6. Ledger Reconciliation:
o Perform regular ledger reconciliations, ensuring that all entries are correct and discrepancies are identified and resolved.
o Coordinate with relevant teams to clear up any issues in the financial records.
7. Journal Entries:
o Prepare and record journal entries as needed for various accounting transactions.
o Ensure all journal entries are processed in compliance with company policies and accounting standards.
8. Assisting in Audit:
o Assist the audit team with the preparation and gathering of documents during audits.
o Ensure all accounting processes and records are audit-ready and compliant.
Education: Bachelor’s degree in Commerce, Accounting, or related field.
Skills:
o Strong knowledge of Tally and other accounting software.
o Good understanding of accounting principles, journal entries, and reconciliation processes.
o Excellent attention to detail and organizational skills.
o Ability to manage multiple tasks and deadlines effectively.
